If you don’t add to or change your firm’s information on a regular basis, it can be helpful to have a refresher on what fields are available. The Firm Information video shows you where to access your firm’s contact information in System Configuration and provides examples of how certain fields can affect your reports, statements, and 1099s.

Did you know that you can quickly start other Tabs3 and PracticeMaster software from within any program? Once you have opened one of the Tabs3 and PracticeMaster programs, simply click on the desired program button in the application toolbar! The application toolbar is located at the bottom of the Quick Launch in Version 19 and later.
When starting any software from the application toolbar, the new software will use the same User ID as the current software. A software product’s button will not be displayed on the application toolbar if you do not have access rights to that software or if it is not installed on your workstation.
Statement templates can easily be copied so that you do not have to start from scratch.
To copy a statement template
Access rights control whether users can switch between Detail and Rapid View when entering fees. When access is removed for Detail Fee View, users will no longer be able to see the Hours to Bill, Rate, Amount, Category, User ID, Bill Code, Date Entered, Rate Code, Status, or Sales Tax fields when entering fees.
To remove access to Detail Fee View
Any access profile assigned to users you do not want to have access to Detail Fee View must include this setting. Users must log out and back in for this restriction to take effect.
Note: Users who do not have rights to Detail Fee View will not be able to view Amount information in the Recap of Hours window in Tabs3, PracticeMaster, or Tabs3 Connect.
Statement PDFs emailed via Tabs3 can be password protected. A password can be defined for each matter.
To set up password protection for emailed statements
Note: The password is not assigned to the PDF statement until the email is sent. However, if the matter is marked secure, the password is assigned when the PDF statement is generated.
The Aged Work-In-Process Report breaks down totals for unbilled fees, expenses, and advances into each aging period. Aging Periods can be defined on the Options tab of Customization (Utilities | Customization).
To run the Aged Work-In-Process Report
You can use the Merge Contacts function to combine the contacts, selecting which information to keep from each record.
To merge two contacts
For more information on the Merge Contact utility refer to the Knowledge Base Article R11396, “Merge Contacts Program Simplifies Contact Cleanup.”
An email can be automatically generated when Auto Email Notification (Calendar | Auto Email Configuration) is enabled. The email message will include the meeting information and changes, if any, and will populate the To field with all users listed in the associated calendar record. Simply click Send on the email, and attendees will be notified.
Each user who is assigned to a calendar record must have their email address entered in the User File (File | Open | Select Users) in System Configuration.
Alternatively, if you have the Platinum version of PracticeMaster, a WorkFlow can be set up to automatically send an eNote. For more information on WorkFlows, refer to Knowledge Base Article R11307, “All About WorkFlows.”
Selecting the Do Not Sync check box in the Contact file will prevent the contact from being synchronized to Outlook for all users.
To mark a contact as Do Not Sync
Note: The Do Not Sync option prevents the contact from synchronizing to Outlook for all PracticeMaster users. To limit which contacts synchronize for individual users, you can set up contact synchronization filters instead. For more information, see Knowledge Base Article R11488, “Controlling Which Contacts Synchronize Between Outlook and PracticeMaster.”
You can create a “HideAssembly” variable, which will suppress the assembly process from being viewed.
To edit an existing template to hide assembly
The variable will look similar to the following:

There are a couple of ways to accomplish this. When selecting Journal in the Record Type Selector, simply clear each check box except for Note. Alternatively, a custom activity list can be created with only the type(s) of records you want to see. Once created, you can access the custom activity list via the Record Type Selector.
