Billing Q&A: Summary Fee Description on Statements

One of my clients prefers that I do not send him a statement with every fee listed. They have requested to just have a single page statement with an overview of the work we performed for them. Is there a way I can do this?

This can be accomplished by entering a fee with a Type 4 – Description Only transaction code (tcode) and using a statement template that is set up with a Fee Format of Summary. The Summary option allows you to generate a statement that summarizes all the fees into one line item. The fee transaction with the Type 4 tcode allows you to customize that description.

To enter a description-only fee transaction

  1. From the File menu, point to Open and select Fee.
  2. Select the desired Client ID.
  3. Click the dropdown arrow next to Tcode.
    1. Select a tcode that displays 4 F in the Type column. For example, if you installed Starter Data when you first installed the software, you may want to select Tcode 21.
    2. Click OK.
  4. Enter the desired Description, which will be shown on the statement.
  5. Press Ctrl+S.

To show only a summary of fees on a statement

  1. From the Statements menu, point to Statement Setup and select Statement Templates.
  2. Select the Template ID for the statement template that is assigned to the Client.
  3. On the Fee Format tab, in the Fee Format section, select Summary.
  4. Press Ctrl+S.

You can now generate a statement for the client as you normally would.

Note: Keep in mind that changing a Statement Template will affect all clients that use that template. You may want to consider creating a new template and assigning to this client instead of editing an existing one.
